Who does what
Page 4 of 5. About three minutes.
The one idea
You build the programmes. That is what the portal is for, and it is what the rest of these pages teach. You do not wait on us and you do not wait on a release to change what people are getting.
Two of those jobs are yours whether you want them or not, because doing them hands somebody the ability to read participant records.
Who does what
| The work | Who does it | Why |
|---|---|---|
| Journeys, sequences, atoms, surfaces, tracking | You | This is the work the portal exists for. Everything from here on is how to do it. |
| What the programme is for, what the content says, what a score means, who gets which journey, when it goes live | You | Clinical and commercial calls with your name on them. We can shape them. We will not invent them. |
| Standing up a tenancy | You, always | Creating one makes the creator its administrator, and an administrator reads participant records. Nobody outside your organisation should hold that. |
| Inviting people | You, always | The invitation sets the role, and the role decides what they can read. |
| Bringing content across from the earlier mobile application | Us | It is a conversion job on our tooling, not a portal job, and you should not have to learn it. |
| Building the first one alongside you | Us, if you want it | Ask. Most teams want a hand with the first journey and none with the fifth. |
The four roles
An invitation carries exactly one, chosen at the moment you send it.
| Role | Can read participant records | What it is for |
|---|---|---|
| participant | their own | using the app |
| coach | yes: answers, health events, screening results, chat | working with people |
| admin | yes, everything in the tenancy | running it |
| sales | none at all | looking up a tenancy or a group, and copying a sign-up link |
sales exists so that delegation is safe. Anyone who only needs a sign-up link
gets a sales seat, and
Roles and permissions sets out exactly
what each seat can reach.
Two things to know before your first attempt
Some settings are a switch. Some have a screen of their own. Some you paste in as a block of text. That last kind is why these pages give you the text rather than describing a form. Paste the whole block and save. If the block is not written correctly the save is refused, so a half-finished setting never reaches anybody.
Editing a published sequence puts it back into draft. Nobody receives a half-finished edit. Your change goes out when you publish again, and not before, so check the status before you close the tab.
What needs a new version of the app
| Rebuild the app | Change it in the portal |
|---|---|
| Typefaces, the app icon, the splash screen, the app's name on the phone, and the accept-this card shown before sign-in | Colours, logos, wording inside the app, tabs and labels, the legal pages, and every setting on all five building blocks |
What you can now do
Answer the question that decides your first month: who on your side needs an account, and which role.
Usually one administrator, coaches if coaches are part of your model, and a sales seat for anyone who only fetches sign-up links. Content work needs no account of its own until you want to do it yourself.
